1. Who we are

Tabama provides an online employee time clock and timesheet service for small businesses. The service is operated by Tabama, and the contact address for privacy questions is pachinski@hotmail.co.uk.

2. What data we collect

We collect only the information needed to provide the timekeeping service:

  • Account data: email address, password hash (handled by our authentication provider), first name and last name.
  • Company data: company name, business type and address (if supplied by the admin during registration).
  • Timekeeping data: clock-in and clock-out times, shift edits, hourly pay rates and any manual shift entries entered by staff or admins.
  • Billing data: subscription status, trial dates and payment-related identifiers managed by our payment processor.
  • Technical data: browser type, IP address and error logs used for security and reliability.

3. How we use your data

We use the data to:

  • Authenticate users and keep accounts secure.
  • Record, display and report on employee working hours.
  • Calculate wage estimates and generate CSV payroll exports.
  • Manage subscriptions, trials and billing.
  • Maintain service performance, fix errors and prevent abuse.

We do not sell personal data to third parties, and we do not use it for advertising targeting.

4. Legal basis for processing

For company admins, we process data to perform our contract with you. For employees whose data is added by an admin, processing is generally necessary for the legitimate interests of the employer (managing working time and payroll) and is usually done under the employer's direction. Employees should contact their employer for questions about why their data is being processed.

5. Data sharing

We share limited data with a small number of service providers:

  • Authentication & database: our backend provider handles login, data storage and access control.
  • Payments: our payment processor handles card details and billing records. We do not store full card numbers ourselves.
  • Hosting: our platform host provides the infrastructure on which the app runs.

We may also disclose data if required by law, court order or to protect our rights and users.

6. Security

We use role-based access controls, encrypted connections (TLS), and industry-standard authentication to protect data. However, no online service can guarantee absolute security. Admins and users should also keep passwords safe and report any suspected unauthorised access.

7. Data retention

We keep account and timekeeping data for as long as the company account is active. After cancellation, data is deleted within a reasonable period unless we are required to keep it for legal or tax reasons. Specific retention needs are set by the employer/company admin.

8. Your rights

Depending on your location, you may have rights to access, correct, delete or restrict the use of your personal data. Employees should contact their employer first, since the employer controls most of the data entered into Tabama. Admins and account holders can also contact us directly at the email address below.

9. Cookies and tracking

We use essential cookies and similar technologies to keep you signed in and to secure the service. We do not use third-party advertising or behavioural tracking cookies. See our Cookie Policy for more details.

We may update this policy as the service changes. The latest version will always be available at this page, with the "Last updated" date shown at the top.
